Position Summary
Porchlight Hospitality is seeking a highly organized and detail-oriented Event Coordinator to join our growing team. In this role, you’ll work directly with the Director of Event Sales to plan, organize, and execute events that exceed guest expectations and align with our hospitality brand standards.
From live entertainment activations and corporate buyouts to private parties and themed nights, you'll play a vital role in every stage of planning and on-site coordination. Porchlight Hospitality is seeking a highly organized and detail-oriented Event Coordinator to join our growing team. In this role, you’ll work directly with the Director of Event Sales to plan, organize, and execute events that exceed guest expectations and align with our hospitality brand standards.
From live entertainment activations and corporate buyouts to private parties and themed nights, you'll play a vital role in every stage of planning and on-site coordination. The ideal candidate thrives in a fast-paced environment, manages competing deadlines with confidence, and knows how to keep events running smoothly under pressure.
- Collaborate with the Director of Event Sales to interpret client goals, event requirements, and desired outcomes
- Manage the logistics and timeline of each event, balancing cost efficiency with quality execution
- Source and coordinate with vendors (e.g., catering, décor, AV, entertainment), maintaining budget compliance and service standards
- Oversee day-of operations, including venue setup, timelines, staff assignments, and last-minute changes
- Conduct final pre-event checks (floor plan, table settings, lighting, tech setup) to ensure everything meets expectations
- Act as primary on-site contact during events, resolving issues quickly and professionally
- Gather post-event feedback and prepare debrief reports to support continuous improvement
- Work cross-functionally with bar management, marketing, and leadership teams to align event messaging and service delivery
- 1+ years of event coordination or management experience (hospitality or venue-based required)
- Strong attention to detail with the ability to juggle multiple events and timelines
- Proficiency in Microsoft Office (Excel, Word, PowerPoint)
- Experience with Tripleseat or similar event management software preferred
- Excellent vendor management and negotiation skills
- Strong communication and interpersonal skills with a customer-first mindset
- Ability to stay calm and professional under pressure during live events
- Familiarity with staffing needs and recruitment support for large-scale events
- Proactive problem-solver with strong organizational and time management skills
- Self-starter who works well independently and takes initiative to anticipate needs and drive tasks forward
- Availability to work evenings, weekends, and holidays as event schedules demand
- Degree in Hospitality, Public Relations, or related field preferred but not required
- Salary starting at $35,000+ DOE
